How we handle your data on Petcoset
This policy explains what information Petcoset collects from veterinary clinics, hospitals, groomers, pet businesses and the pet owners they serve, and how that information is used, stored and protected.
Petcoset is a practice-management and pet-care software platform. Clinics, hospitals, groomers and other pet-care businesses that use Petcoset are the data controllers for the pet and client records they enter; Petcoset processes that information on their behalf as described below.
Scope of this policy
This Privacy Policy applies to the Petcoset marketing website at petcoset.com and to the Petcoset application used by veterinary clinics, pet hospitals, groomers, boarding facilities and other pet-care businesses (each, a "Business") to manage their pets, clients, appointments, records and billing.
It describes how Petcoset Private Limited ("Petcoset", "we", "us") handles personal data belonging to Business staff (account holders) and to the pet owners and pets whose records a Business stores in Petcoset ("Client Data").
Data we collect
We collect the following broad categories of data:
- Account data: name, work email, phone extension, role and login credentials for staff who use Petcoset on behalf of a Business.
- Pet and client records: pet owner contact details, pet profiles, medical and veterinary history, vaccination records, consultation notes, treatment plans, prescriptions and attached documents or images entered by a Business.
- Appointment and scheduling data: bookings, calendar entries, reminders and service history.
- Billing and payment data: invoices, receipts, subscription plan details and payment status. Card and bank details are collected and stored directly by our payment processors, not by Petcoset.
- Usage and device data: log data, browser type, device identifiers and interactions with the application, collected to keep the platform secure and reliable.
How we use data
We use the data described above to:
- Provide, operate and maintain the Petcoset application for each Business, including pet and client records, scheduling, treatment tracking, billing and reporting.
- Send account, appointment and billing notifications on behalf of a Business to its staff and, where a Business configures it, to pet owners (for example appointment or vaccination reminders).
- Maintain the security, integrity and availability of the platform, including detecting and preventing fraud, abuse or unauthorised access.
- Provide customer support and respond to enquiries submitted through the platform or the contact page.
- Improve Petcoset's features, reliability and AI-assisted tools based on aggregated, non-identifying usage patterns.
- Meet legal, tax, accounting and regulatory obligations.
We do not sell Client Data, and we do not use Client Data to serve advertising.
AI processing of data
Petcoset includes AI-assisted features that help organise pet and client records, generate summaries of consultation history, and suggest reminders or follow-ups. To provide these features, relevant record data may be processed by Petcoset's AI systems or by third-party AI infrastructure providers acting under contractual confidentiality and data protection obligations.
AI-generated summaries and suggestions are decision-support tools only. They are intended to help a Business organise and review information faster, and they do not constitute veterinary advice, diagnosis or treatment, and do not replace the professional judgment of a qualified veterinarian. A Business remains responsible for reviewing AI-assisted output before relying on it for any clinical or business decision.
Data storage and retention
Data is stored on secured, access-controlled cloud infrastructure. We retain account data, Client Data and billing records for as long as a Business maintains an active subscription, and for a reasonable period afterward to allow data export, meet legal and accounting obligations, and resolve any disputes.
A Business may request deletion of its account and associated Client Data, subject to any statutory retention periods that apply to medical, billing or tax records in the relevant jurisdiction.
Third-party processing
We share data with a limited set of service providers who process it on our behalf, strictly to deliver the Petcoset service:
- Cloud hosting and infrastructure providers that store application data and backups.
- Payment processors that handle subscription billing and card transactions securely on our behalf.
- Email and notification delivery providers that send account, appointment and billing notifications.
- AI infrastructure providers that support the AI-assisted features described in Section 4.
These providers are bound by contractual confidentiality and data protection obligations and are only permitted to use the data to provide services to Petcoset. We do not permit these providers to use Client Data for their own independent purposes.
Data security
We apply administrative, technical and physical safeguards designed to protect data against unauthorised access, alteration, disclosure or destruction, including access controls, encryption in transit, and restricted internal access to production systems on a need-to-know basis.
No method of storage or transmission is completely secure. If we become aware of a security incident affecting personal data, we will notify affected Businesses in line with applicable law.
Your rights and choices
Businesses can access, correct, export or delete the Client Data they hold directly within the Petcoset application.
Pet owners who wish to access, correct or request deletion of their personal data held by a Business within Petcoset should contact that Business directly, as the Business controls which records it stores. Where a request relates to how Petcoset itself processes data as a service provider, you may reach us through the contact page and we will assist or direct the request to the relevant Business as appropriate.
Children's data
Petcoset is a business-to-business platform intended for use by veterinary and pet-care professionals and is not directed at children. We do not knowingly collect personal data from children. Client Data relates to pets and their adult owners, not to children.
International data transfers
Petcoset Private Limited is registered in West Bengal, India, and our infrastructure and service providers may process data in India or other countries. Where data is transferred across borders, we take reasonable steps to ensure it continues to receive an appropriate level of protection consistent with this policy and applicable law.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our practices, features or legal requirements. Material changes will be communicated to account holders through the application or by other reasonable means. Continued use of Petcoset after an update constitutes acceptance of the revised policy.
